This position will report to our EnerSys Energy Systems business, which serves the telecom, cable broadband, industrial, renewable, and data center markets. Our portfolio combines our stored energy expertise with power systems, enclosures, and renewable energy products to deliver world-class solutions for diverse applications such as 5G, broadband, Internet of Things (IoT), data center, and solar power. Our cutting-edge technology includes Lithium batteries, Fault Managed Power Systems, and Extended Run Time battery backup systems that improve the reliability and resiliency of broadband networks.

Compensation Range: 30.00-32.69 hourly

Job Purpose
The Administrative Assistant II provides comprehensive administrative support across multiple functions, including travel coordination, expense management, vendor administration, and office operations. This role requires strong organizational skills, attention to detail, and the ability to handle confidential information while effectively supporting cross-functional teams.
Essential Duties and Responsibilities
Travel and Expense Management
- Coordinate travel arrangements through the corporate travel agency (Corporate Traveller).
- Obtain management approvals and maintain audit-ready documentation.
- Review bi-weekly travel statements and validate accuracy, including Service Request (SR) allocations.
- Review monthly rental car vendor statements and ensure proper coding and approvals.
- Serve as backup for U.S. travel systems (Concur).
- Manage expense processes, including account setup, approvals, and report processing.
- Prepare and submit PCard expense reviews (Canada).
Administrative and Office Operations
- Support Product Management, Marketing, and Engineering with documentation and correspondence.
- Maintain confidentiality of sensitive business information.
- Order office supplies and manage inventory for common areas.
- Coordinate facilities-related needs.
- Manage catering, meeting room setup, and shared space readiness.
- Perform other duties as assigned.
Events and Employee Support
- Assist in planning and executing company events (e.g., All Hands meetings, holiday events, and quarterly activities).
- Support front desk operations, including visitor management, badge issuance, and maintaining emergency contact lists.
- Handle miscellaneous administrative duties, such as deposits, social committee support, and hotel desk coordination.
Financial Administration
- Support purchase order approvals in Syteline for Field Services, including high-value approvals.
- Assist with departmental expense tracking, including engineering materials.
- Provide limited Accounts Payable (AP) and Accounts Receivable (AR) support as time permits.
- Process new vendor setup requests.
- Coordinate with Finance regarding coding, SR numbers, and departmental allocations.
Qualifications
- 3 to 5 years of administrative or operations support experience
- Experience with expense management systems (e.g., Concur)
- Strong organizational and multitasking abilities
- High attention to detail, especially in financial reconciliation and coding
- Proficiency in Microsoft Office (Excel, Outlook, and Word)
- Ability to handle confidential information with discretion
- Strong written and verbal communication skills
Preferred Qualifications
- Experience with ERP or financial systems (e.g., Syteline, Activeworx)
- Familiarity with corporate travel management processes
- Experience supporting cross-border (U.S./Canada) operations
- Event coordination experience
- Exposure to procurement and vendor management processes
- Prior EnerSys experience
