Job Purpose
The Customer Service Representative (CSR) serves as a primary liaison between the organization and its defense customers, ensuring accurate, timely, and compliant support for products and services. This role manages customer inquiries, quoting, order processing, contract requirements, and coordination while adhering to regulatory, security, and export control standards applicable to the defense industry. The CSR works cross-functionally with program management, logistics, engineering, supply chain, and quality teams to ensure customer commitments are met and operational issues are resolved efficiently.
Essential Duties and Responsibilities
- Serve as the primary point of contact for defense-sector customers regarding requests for quote, orders, delivery status and product support.
- Process and manage customer orders, quotes, and contract requirements within internal ERP and program management systems.
- Coordinate with internal departments (engineering, logistics, manufacturing, supply chain, and program management) to ensure accurate and timely fulfillment of customer requirements.
- Monitor order status, production schedules, and shipment lead times to proactively communicate updates to customers.
- Support contract administration activities, ensuring compliance with contractual obligations and corporate policies.
- Maintain accurate documentation and records in accordance with regulatory, quality, and defense compliance requirements.
- Assist with issue resolution, including product discrepancies, delivery concerns, and technical inquiries, escalating as appropriate.
- Support export compliance requirements, including adherence to ITAR/EAR regulations where applicable.
- Prepare customer reports, status updates, and documentation required for program reviews or audits.
- Maintain strong professional relationships with internal and external stakeholders while upholding confidentiality and security standards.
Qualifications
- Associate or Bachelor’s degree in business administration, Supply Chain, Communications, or related, equivalent field or professional experience.
- 5+ years of experience in customer service, order management, or program support in a manufacturing, aerospace, or defense environment preferred.
- Experience working with ERP systems (BaaN, SAP, Oracle, or equivalent).
- Strong organizational skills and ability to manage multiple priorities in a deadline-driven environment.
- Excellent written and verbal communication skills.
- Exhibits fluency with Microsoft Office platforms such as EXCEL and WORD as well as ADOBE PRO.
- Ability to work effectively across cross-functional teams.
Preferred Qualifications
- Experience supporting government or defense contracts.
- Familiarity with ITAR, EAR, or export compliance requirements
- Experience with FARS and DFARS
- Experience with aerospace or defense manufacturing environments.
- Prior experience with order management and logistics coordination in complex supply chains.
