Job Purpose

The Executive Assistant – CFO & Finance Organization provides high-level, confidential, and proactive administrative and operational support to the Chief Financial Officer and select Finance and Investor Relations leaders. This role is critical to ensuring the effectiveness of the CFO and the broader Finance organization through exceptional calendar management, travel coordination, expense reporting, event planning, and executive-level coordination.
 
The position requires sound judgment, strong anticipation of executive needs, discretion with sensitive information, and the ability to operate with professionalism, positivity, and attention to detail in a fast-paced, global environment.

Essential Duties and Responsibilities

Executive Support & Calendar Management
  • Provide high‑level executive administrative support to the CFO and selected Finance leaders, proactively anticipating needs related to meetings, travel, and key deliverables.
  • Independently manage highly complex calendars involving internal and external stakeholders, balancing competing priorities and resolving conflicts with discretion and sound judgment.
  • Review upcoming schedules to identify pacing concerns, conflicts, or preparation gaps and proactively recommend adjustments.
  • Ensure executives are fully prepared for meetings by confirming attendees, materials, technology, timing, and locations.
  • Accurately record meeting minutes and action items when required.
 
Travel & Expense Management
  • Independently coordinate and manage domestic and international travel, including airfare, rail, lodging, transportation, and detailed itineraries.
  • Remain available outside regular business hours, particularly during executive travel, to address urgent changes or issues.
  • Prepare, review, and submit expense reports timely and accurately, ensuring compliance with company policies and supporting documentation.
  • Provide administrative support related to Finance budgets, actuals, and forecasts as needed.
 
Investor Relations, Board & Executive Coordination
  • Coordinate Investor Relations activities, including non‑deal roadshows, earnings‑related scheduling, Investor Day planning, and meetings with investors and bankers.
  • Support preparation of Board of Directors, committee, and executive leadership materials by researching, compiling, reviewing, and proofreading documents.
  • Review Board decks, executive presentations, press releases, and other high‑visibility materials with exceptional attention to detail and confidentiality.
  • Interact professionally and confidently with executives, Board members, investors, bankers, and external partners, representing the CFO and Finance organization.

Event Planning & Department Support

  • Plan and coordinate Finance department events, including quarterly global town halls, annual off‑sites, and department meetings.
  • Manage logistics such as venue sourcing, catering, travel coordination, and support for in‑person and virtual/webcasted events.
  • Support departmental celebrations, recognition activities, volunteer initiatives, and on‑site executive or guest visits as needed.
 
Finance Organization & Onboarding Support
  • Provide aligned executive‑level administrative support to Investor Relations leadership and other Finance leaders in line with CFO priorities.
  • Build strong working relationships with executive assistants and liaisons across the organization to improve efficiency and share best practices.
  • Coordinate onboarding for new Finance hires to ensure systems, tools, calendars, and resources are in place on day one.
 
Administrative & Operational Excellence
  • Read, analyze, prioritize, and distribute incoming communications with appropriate discretion.
  • Prepare correspondence, spreadsheets, presentations, and executive materials using Microsoft Office applications.
  • Manage physical and electronic correspondence and provide general administrative support across the Finance organization.
  • Leverage AI tools and emerging technologies to enhance workflow efficiency, organization, and executive support.

Qualifications & Experience Required

  • 5+ years of experience supporting senior executives in a high-complexity administrative, executive assistant, or executive liaison role.
  • Demonstrated experience managing complex calendars, executive travel, and expense reporting.
  • Advanced proficiency in Microsoft Outlook, Word, and PowerPoint.
  • Excellent written and verbal communication skills with the ability to interact professionally at all levels.

Preferred

  • Bachelor’s degree in Finance or a related field.
  • Experience supporting CFOs, Finance organizations, or Investor Relations teams.
  • Strong Excel skills and comfort assisting with budgets, financial tracking, or executive reporting.
  • Experience supporting Board-level materials and meetings.
  • AI tools expertise or demonstrated interest in leveraging AI to improve administrative and workflow efficiency.
  • Event planning and project coordination experience in a corporate environment.
