Job Purpose

The Service Coordinator will schedules appointments, gives information to callers, and otherwise relieves officials of clerical work and minor administrative and business detail by performing the following duties.

Essential Duties and Responsibilities

  • Improving service image & satisfaction
  • Receiving service calls
  • Dispatch service calls to techs one at a time
  • Service time and utilization admin
  • Service invoicing & customers’ credits
  • Issuing credit applications to new customers & set-up new customers in BaaN
  • New instructions to follow on Home Depot & Sobeys in-house program - TBA
  • Administer PMA program/reports
  • Reporting and maintain various monthly reports from Service Supervisor
  • Coordinate service parts pickup for the service techs and customers
  • Service Inventory Control
  • Used equipment management admin
  • Service call follow ups
  • Service marketing support
  • Arranging customers’ pick-up on scrap batteries and loaners
  • Service reporting:  Log all service calls on our service request program in a timely manner
  • Stock reordering :  Work-order forms and battery-order test sheets etc.
  • Special service customer programs
  • Satisfying customers with all Liability Certificates and Workers Compensation Clearance
  • Organizes and maintains service file system and files correspondence and other records
  • Prepares outgoing service mail and correspondence, including e-mail and faxes
  • Maintains a safe, orderly, and clean working environment including maintenance & upgrade of the EnerSys Canada Service Request Program.
  • Follows all company policies and procedures as listed, but not limited to:
  • Warranty, safety, environmental, OSHA, DOT Hazmat, and ISO9000.
  • Other duties as assigned.

Qualifications

QUALIFICATIONS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Education and/or Experience:  High school diploma or general education degree; or three to six months related experience and/or training; or equivalent combination of education and experience. 
Language Ability: Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization. 
Math Ability: Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference and volume. Ability to apply concepts of basic algebra and geometry. 
Reasoning Ability: Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations. 
Computer Skills: Must be proficient in the use of PC based Windows applications such as Microsoft Office Word, Excel, Outlook, Access and Power Point; Internet Explorer; and other programs as deemed necessary by the manager. Order entry processing and inventory control through the BaaN system.

  • Must be able to frequently bend; twist; reach; stoop; kneel or crouch.
  • This position is exposed to harmful materials such as lead/fiberglass products. Periodic blood tests are required to measure the level of lead. Precautions are taken by the company/employee to reduce the risk of exposure and help ensure everyones safety.
